To help convert new patients more efficiently, it’s essential to set up voicemail on our platform. This ensures that calls are properly tracked, missed call texts are sent, and opportunities aren’t lost. Without voicemail, forwarded calls will continue to ring without an option to leave a message, potentially resulting in missed leads.
You or a staff member will need to record an MP3 file of your voicemail greeting and upload it to the platform. You can record your voicemail message using the following methods:
Mac/Apple Computer Using QuickTime: QuickTime Audio Recording Guide
iPhone: Use the built-in Voice Recorder app.
Online Free Service: Online Voice Recorder
Once recorded follow the upload instructions below.
If you need inspiration for your voicemail message, here are two options:
Shorter Script: "Hello, and thank you for calling (Business Name). We are sorry we missed your call. Please leave us your name and phone number, and one of our friendly staff members will get back to you shortly to answer any questions you may have. Thank you again for calling (Business Name), and we look forward to speaking with you soon!"
Longer Script: "Thank you for calling (Business Name). Our normal business hours are (Insert Business Hours here, e.g., Monday through Friday from 9:00 AM to 5:00 PM, and Saturday from 9:00 AM to 1:00 PM). We are sorry we missed your call. Please leave us your name and phone number, and one of our friendly staff members will get back to you within the next business day to answer any questions you may have. We appreciate your interest in our services, and we look forward to speaking with you soon. Thank you!"
On the left-hand side menu, scroll to the bottom and click Settings.
Click Business Profile in the left-hand side menu.
Navigate to Call and Voicemail Settings.
Click Upload, then select your MP3 file.
If your file is not in MP3 format, you can convert it using a free online tool like Zamzar.
Set the Incoming Call Timeout to 20 seconds.
Click Save to finalize your settings.
