Automated Practice (AP) offers a Referral System, a service we include in most of our agency plans, designed to boost your practice’s marketing efforts. This system allows you to maximize the value of each lead by turning them into ongoing referrals, helping you grow your practice. Here’s everything you need to know about how it works:
How It Works:
The goal of the referral system is simple: multiply the opportunities from each lead or patient, creating a constant flow of referrals.

Flexibility in rewards: You can configure different offers for both the referring patient and the new referred patient.

Step 1: Set Up
The system is designed to be simple yet effective. When we are setting up, you'll define what both the referring patient and the referred patient receive.
Examples of Offers:
If your practice offers SoftWave or other devices, you could offer a free maintenance treatment for the referring patient, while the new patient could receive their first treatment for free or a special new patient offer.
If you offer services like Red Light Therapy or IV Therapy, you could offer discounts or a set dollar amount toward any service for both the referring and referred patients.
Where to Implement: Consider introducing the referral program after a patient has been in your care for a while or during a report of findings to help boost conversions.
Step 2: Patient Registration
Once the system is configured, patients can register to become referrers.
Optional registration: While this step isn’t mandatory, patients who register gain access to their own dashboard.
Dashboard Features: The dashboard provides them with a QR code and the ability to share referral links via social media platforms.
Step 3: Referral Process
When a patient makes a referral, the system tracks it separately from your existing leads.
Referral Dashboard:
You’ll have access to a referral-specific dashboard where you can view the status of all referrals in real-time. The dashboard will automatically update as the referral progresses, showing when they move to the next stage.
Step 4: Automated Messaging
Once a referral is made, automated messages are sent to the referred patient.
Example Message: “Hey [Name], [Referrer’s Name] thought you should come see us! When you visit, you’ll get our VIP offer along with [the specific offer you configured].”
Once the referred patient claims the offer and visits your practice, both the new patient and the referring patient will be notified of their rewards.
Step 5: Reward Notification
When the referred patient visits your practice, they’ll receive their special offer. At the same time, the referring patient will be notified that their referral took advantage of the offer and is now eligible for their reward.
Using the Referral System in Your Practice:
You can implement the referral system in a variety of ways:
QR Code: Display a QR code at the front desk with a sign that says something like, “Do you know a friend who could benefit from our services? You’ll get [reward] and they’ll get [reward]. Scan here to register a referral.”
Constant Visibility: By making the referral program visible and easy to access, you encourage your patients to refer others.
